RioNET Mail Migration Updates
on Friday, December 03, 2010 - 01:08 PM Posted by: Kingsley Meyer
CC&N NoticeGreat News!

Campus Computing & Networking has completed the licensing of Microsoft Hosted Exchange services to replace our campus Ipswitch Imail
Imail has served us well for over a dozen years but, now is a great time to move all non-student RioNET accounts to a “cloud-based” mail service with plenty of new features and benefits for campus collaboration

ALL faculty, part-time faculty & staff PLUS the Board of Trustees, etc will be moved off RioNET Ipswitch Imail and over to RioNET Exchange over the next six months

YES – SIX MONTHS…

For now, through the full migration of all users, RioNET Ipswitch Imail AND RioNET Exchange will work together

RioNET users will be migrated over to the new RioNET Exchange until completion

For migrated users, new mail messages will first enter RioNET Ipswitch Imail then forward out to the new RioNET Exchange

When everyone is on the new system, the Rio Grande campus will tell the Internet to send all rio.edu mail to the RioNET Exchange

Some new features like fully synchronized mobile devices (ActiveSync & Blackberry Enterprise Services) may require our full completion before activation

Until then, mobile devices can still receive mail through the RioNET Ipswitch Imail

Migrating e-mail is a dangerous process if done in a hasty and careless fashion
For that reason, CC&N Staff have moved first – testing the process along the way and documenting everything

Migration process steps and procedures are being tested and documented for every type of RioNET e-mail user:
Web-only Users
Outlook Users
Outlook Users with Mail Saved on Server
Non-Outlook Users (Thunderbird, Apple Mail, etc)
Mobile Device / Smartphone Users
Caution is more important than a quick “cut-over”!

The “Proof of Concept” testing has begun & here is what we expect to happen and the timeframe:

TODAY –

The Rio Grande Mail web page has a new link added for Outlook Web Access (https://mail.rio.edu ) This is only for users after they have been migrated to RioNET Exchange Otherwise, please use the regular RioNET eMail link

DECEMBER –

CC&N will contact specific users (test subjects) for a controlled migration to RioNET Exchange

This is for a carefully monitored and supervised move from RioNET Ipswitch Imail to RioNET Exchange

This is NOT for persons without patience and a willingness to learn new ways of using e-mail!

Testing – Documentation – Monitoring – Testing – REPEAT

SPRING & SUMMER 2011 –

RioNET users will be contacted for migration – Person by Person, Office by Office, Group by Group, School by School…

This is for an orderly, carefully monitored and supervised move from RioNET Ipswitch Imail to RioNET Exchange

Testing – Documentation – Monitoring – Testing – REPEAT

New RioNET staff & faculty accounts will be built in RioNET Exchange not RioNET Ipswitch Imail

FALL 2011 –

Deadline: All users migrated to the new RioNET Exchange Full synchronization with mobile devices, shared calendaring & contacts

There is much to do, many people to contact and lots of places where things could go wrong if CC&N does not proceed cautiously and properly train all new users of RioNET Exchange

Everyone must become involved at some point so mentally prepare yourself when it becomes your turn

Campus Computing & Networking is excited about the new features and services this provides plus the compliance & security options we now will have available

REPEAT REMINDERS: (Please, these are important!)
For both Web-only & Outlook users: Clean out the INBOX of all un-necessary messages

If you have subfolders within the INBOX, please move those folders to a separate folder outside the INBOX – This is important for migration

Create a private e-mail account with Live, Hotmail, Gmail or Yahoo for personal e-mails which are NOT University of Rio Grande / Rio Grande Community College business

Rio Grande e-mail will be archived – Question: Do you want all your @rio.edu mail to become archived as institutional business documents?

Use your RioNET account for ALL communications with students and for all campus business communications

Unsubscribe to all un-needed & un-wanted e-mail lists

Move personal e-mail deliveries to your personal e-mail account

Please expect more CC&N NOTICES to come with more information as it becomes noteworthy

Have a safe and joyous Holiday Season

Thou Shalt Not: Ten Computer Security Commandments
By Sean Gallagher
Created January 5, 2010

The Internet can be a lovely place, full of Facebook friends and pictures of grandkids and such. But like any major city, it has its dens of iniquity, its criminals and malcontents. And every city dweller knows there are places you don't go and things you don't do if you want to stay out of trouble. Here are some security commandments to keep you from getting your pocket picked, and your computer from being turned into a zombie minion of some mad internet overlord:
